Job Description
This dynamic role sits at the heart of the Purchase to Pay function, ensuring the seamless flow of financial transactions and compliance across the organisation. It requires a multi-skilled approach to manage a broad spectrum of responsibilities.
What you’ll be doing as an Internal Control Administrator
- Provide cashflow forecasting reports and payment proposals to Finance to agreed timescales and perform the automated payment cycles. Ensuring the appropriate SoDA approvals are obtained prior to payments being made, and Treasury have funds available
- Process non-standard invoices, ensuring that correct sign-off and approvals are obtained prior to input into the system. This includes any manual postings to clear, ensuring correct accounting entries to correspond with Finance entries. Non-standard invoices, including foreign currency invoices, payment requests, direct debit invoices, proforma/pre-payment requests
- Carry out manual adjustments to the system for items that require correction and ensure supporting paperwork is attached in SAP
- Manage negative balances and duplicate payments in SAP, ensuring money owed to us is returned as quickly as possible
- Resolve court summons relative to Purchase Ledger actioning immediately on receipt to minimise costs
- Ensure purchase ledger VAT compliance
- Generate self-billing tax invoices and maintain records to satisfy audit and HMRC
- Carry out CIS assessment, make any required deductions and submit the CIS tax return to HMRC
- Identifying systems failures and ensuring their timely correction with minimal customer impact via end-to-end incident management
- Maintain a detailed understanding of the Thames Water financial interfaces – SAP, COPE, PT-X, Worldpay, RBS Bankline and Pazien
Base location: Reading - Hybrid
Working pattern: 36 Hours
What you should bring to the role
- Experience working in an accounts payable/receivable role or Purchase to Pay role
- Good Excel skills, particularly managing spreadsheet content, vlookups and writing formulas
- Effective decision making based upon a mixture of analysis, experience and judgment
- Being able to develop and maintain relationships both internally and externally
- Able to deal with difficult situations in a positive manner
- Organised and methodical approach to all tasks
