Operations Assistant

Location: Southampton Docks
Pay Rate: £13.75 per hour (PAYE)
Hours: 9:00am – 3:00pm, Monday to Friday
Initially 9-5 during the first few weeks of training
Overtime: Up to 2 hours may be required occasionally to meet operational needs

About the Role
We’re looking for an organised and proactive Operations Assistant to support our busy Operations Manager and help ensure the smooth running of terminal activities. This is a varied role, ideal for someone who enjoys working in a fast-paced environment and takes pride in accuracy and efficiency.

What You’ll Be Doing

• Processing payments, raising purchase orders, and maintaining accurate records (training provided on in-house systems)
• Investigating and resolving cost or order discrepancies
• Managing purchasing and costing records
• Coordinating with third-party contractors and handling related payments
• Creating and maintaining spreadsheets to track efficiencies, training, competencies, and safety documentation
• Managing procurement and tracking spend on PPE
• Updating office rosters and notice boards
• Arranging repairs to communication, operational, and safety equipment
• Monitoring staff training and competency records
• Filing check sheets, sign-on sheets, and incident/accident reports

About You

• Highly organised with great attention to detail
• Confident managing your own workload and working as part of a team
• Flexible, reliable, and discreet with a professional approach
• Proficient in Microsoft Office 365 and comfortable using IT systems
